Getting started

How do I create an Astrid account?

Your firm administrator sets up your firm's Astrid account and invites attorneys and staff by email. You'll get an invite to set a password and sign in.

What are the different seat types?

Attorney, staff, and firm administrator. Attorneys can approve notes and see calls marked privileged. Firm administrators additionally manage seats and firm-wide settings.

How do I navigate the dashboard?

Calls, Matters, Needs Review, and Actions live in the sidebar. Calls is organized into Pending approval, Processing, Failed, Filed, and Upcoming tabs.

How do I reset my password?

Use "Forgot password" on the sign-in page, or change it anytime from Profile & settings once you're signed in.

Capturing calls

How do I capture a call over Zoom Phone?

Once your firm connects Zoom Phone in Settings, calls placed or received on that line are captured automatically. There's nothing extra to do per call.

How do I record a live meeting?

Use New Capture and choose Capture meeting now to start a live in-browser recording, or send Astrid's meeting notetaker to join a video call for you.

How does the meeting notetaker work?

Astrid can join a Zoom, Google Meet, or Microsoft Teams call as a participant. It announces itself out loud when it joins, then records and transcribes the meeting.

Can I send the notetaker to a meeting on demand?

Yes. Use "Send notetaker now" from a scheduled meeting on your Upcoming tab, or paste a meeting link to send it to an ad-hoc call that isn't on your calendar.

How do I upload a past recording?

Use New Capture and choose Upload meeting audio, then select the file. Astrid transcribes it and drafts a note the same way it would for a live capture.

Can I dictate a note instead of recording a call?

Yes. Dictation capture lets you speak your own summary of a call or client interaction directly into Astrid, without recording the original conversation.

What happens if a capture fails?

A failed call shows up in the Failed tab with the reason. Once the underlying issue is resolved (a missing recording, for example), you can reprocess it from there.

Notes, actions & recaps

Where do I find the note for a call?

Open the call from the Calls list. The note is on the Summary tab.

How do I edit a note before approving it?

Use the Edit menu on the Summary tab to revise the summary or meeting notes. Once a note is approved, editing it again requires reopening it first.

What does "Approve & lock" do?

It records you as the reviewing attorney and locks the note as the firm's official record. If a case management system is connected to the matter, it also offers to sync the note and its action items.

How do I fix incorrect speaker labels?

Open the Transcript tab and rename each detected speaker to the correct person.

How do I reprocess a call?

Use "Re-process meeting" on the call to regenerate its transcript and note. Useful if something looks wrong the first time through.

How does the recap email work?

Astrid drafts a client-facing recap from the note. Review and edit it on the Send follow-up email tab, then send it from your own connected Gmail or Outlook account, copy it to send manually, or mark it as sent if you already sent it another way.

How do I export a note or transcript?

Use Export PDF or Copy on the Summary or Transcript tab. Exports include a privilege legend alongside the content.

Can I reopen an approved note to fix something?

Yes. An attorney can reopen a locked note with a reason, make the correction, and re-approve it. The original version stays available in the note's version history.

Consent & compliance

How does Astrid handle recording consent?

Your firm sets a consent mode: self-attestation, automatic detection, or both. See our Recording and Consent page for the full picture, including which states require all-party consent.

What does the meeting notetaker announce when it joins?

An audible disclosure that the meeting is being recorded and transcribed.

How do I confirm consent for a witness or third-party call?

Third-party calls, like a witness interview, get their own consent confirmation step, separate from your client's standing consent.

Can Astrid redact personal information automatically?

Yes. A firm administrator can turn on redaction of categories of personal information from Settings, applied before a transcript is ever stored.

Who can see a call marked privileged?

Only attorney seats and firm administrators. Everyone else sees that the call exists without seeing its content.

Matters & case management sync

How do I link a call to a matter?

Use the "Set matter" chip on the call, search by name or phone, and select or create the matter.

What is the Needs Review queue?

Calls Astrid couldn't confidently match to a matter land here for a person to resolve.

Which case management systems does Astrid connect to?

Clio, Smokeball, CasePeer, and MyCase today.

How do I connect our case management system?

A firm administrator connects it from Settings. Once connected, matters can be searched for and imported directly from it.

What happens when I approve a note on a synced matter?

You'll see a prompt to choose what syncs: the note itself, firm actions, and client actions, each an independent choice you can opt out of.

Does my case management system stay updated if I edit an action item later?

If you reopen a note and edit an action item that already synced, re-approving files the edit as a new task in your case management system.

Calendar, email & integrations

How do I see upcoming meetings in Astrid?

Connect your Google or Microsoft calendar from Profile & settings. Connected meetings show up on your Upcoming tab.

How do I send a recap from my own email?

Connect Gmail or Outlook from Profile & settings. Once connected, "Send now via Gmail" or "Send now via Outlook" sends the recap from your own mailbox.

Can I start a live capture straight from an upcoming meeting?

Yes, directly from the Upcoming tab.

How do I connect Zoom Phone?

A firm administrator connects it from Settings. Calls on that line are captured automatically once it's connected.

Account & team settings

How do I invite someone to my firm's Astrid account?

A firm administrator invites them by email from Settings, choosing their seat type.

How do I change someone's seat or remove them?

Firm administrators manage seats from Settings. Seat changes are recorded in an audit trail.

Can I customize note and recap templates?

Yes, firm-configurable templates for both are available in Settings.

How do I switch between light and dark mode?

Use the theme toggle in Profile & settings.

How do I customize action statuses?

Firm administrators can rename and recolor the three action stages, Todo, In progress, and Done, from Settings.
