A firm administrator connects Zoom Phone from Settings with a one-time authorization, then turns on automatic call recording in Zoom for the lines to capture. From there, every recorded call moves through the same pipeline:

  • Zoom Phone records the call and plays its own recording notice
  • Astrid pulls the finished recording automatically once it's ready
  • The call is matched to a matter by the caller's phone number
  • A licensed attorney reviews and approves the note before it goes anywhere

Before you connect Zoom Phone

Do I have to do anything on each call for it to be captured?

No. Once your firm connects Zoom Phone and cloud recording is turned on for a line, every call on it is pulled automatically. Nobody has to press record.

Does this connect once for the whole firm, or does every attorney connect separately?

Once for the whole firm. A single Zoom Phone authorization covers every line and user your firm chooses to capture, not a per-attorney setup like the Zoom meeting notetaker.

Do I still need to turn anything on inside Zoom itself?

Yes, one thing. Zoom's own automatic call recording has to be turned on for the users or call queues you want captured, a setting in Zoom's own admin console, separate from connecting Astrid. Astrid pulls whatever Zoom has already recorded; it can't capture a line Zoom itself isn't recording.

Who plays the recording disclosure on the call?

Zoom Phone's own recording announcement, a Zoom feature you control in Zoom's admin settings, not something Astrid adds. Astrid picks the finished recording up afterward.

Is this the same thing as the Zoom notetaker for meetings?

No. This is Zoom's phone system, and it works differently: no bot joins the call, Astrid just pulls the recording once Zoom has it. The separate Zoom Meetings integration covers video calls, where a notetaker actually joins.

Does an attorney have to approve the note before anything is sent?

Yes, always. A draft note or recap doesn't become part of the record, and nothing goes to the client, until a licensed attorney reviews and approves it.
