A Zoom meeting disappears the moment it ends unless someone was taking notes the whole time. Astrid keeps a record of it without adding a step to the meeting itself.

Toggle a synced calendar event to send a notetaker automatically, or add a meeting and dispatch one manually. Either way it joins under its own name and announces itself before recording.
One-time Zoom authorization
Zoom requires the meeting host to authorize an outside bot before it can join. Each attorney connects Zoom once, from Settings, and every meeting after that is covered.
Same pipeline as every other call
Once the meeting ends, the recording goes through the same transcription, note drafting, matter matching, and attorney approval as a phone call or an upload.
Connect once, from Settings
An attorney connects Zoom from their personal Settings with a one-time authorization. From there, every meeting with the notetaker enabled moves through the same steps:
- A calendar event with a Zoom link, or a manually added meeting
- Astrid's notetaker joins at the meeting time and announces itself
- The call is transcribed, speakers separated, once it ends
- A licensed attorney reviews and approves the note before it goes anywhere
Before you connect Zoom
Why does Zoom need its own separate connection, on top of a calendar sync?
Zoom requires a one-time authorization from the meeting host before an outside bot can join past the waiting room, which is a step specific to the notetaker itself. Google Meet and Microsoft Teams have no equivalent requirement. All three still need each attorney's own calendar connected so their meetings are picked up automatically, the normal one-time calendar sync.
Who needs to connect Zoom, every attorney or just an admin?
Each attorney who wants the notetaker to join their own Zoom meetings connects it once, from their personal Settings. It's a per-attorney authorization, not a firm-wide one.
Does the notetaker announce itself when it joins?
Yes. It joins under a visible name ("Astrid Notetaker") and plays your firm's disclosure clip on entry, the same recording-notice audio used on a phone bridge call.
How does the notetaker actually get invited to a meeting?
Either automatically, if the meeting comes from a synced calendar event with a Zoom link, or manually, by adding the meeting or pasting the link into Astrid directly. Either way, the same toggle controls whether a notetaker gets sent.
Is this the same thing as Zoom Phone?
No. This is Zoom's video meeting product. Zoom Phone is a separate integration for Zoom's cloud phone system, and captures calls, not meetings, a different connection entirely.
Does an attorney have to approve the note before anything is sent?
Yes, always. A draft note or recap doesn't become part of the record, and nothing goes to the client, until a licensed attorney reviews and approves it.
