Summary: Smokeball has no built-in AI notetaker. Its Archie add-on transcribes audio files you have already saved to a matter, and AutoTime tracks call time without the content. Among third-party tools on the Smokeball Marketplace, Astrid files an attorney-approved note as a memo plus follow-up tasks; VXT saves calls from its own phone system as tasks with notes and an optional transcript; Querious sends a time entry; and Call Connector logs each call as a fee or task with a transcript on its paid plan. Otter, Fireflies, Fathom, Jamie, LegalMate, Rev and Sonix are not on the Smokeball Marketplace.
We make Astrid, so weigh our row accordingly. Every statement about another product comes from Smokeball's Marketplace listing or help center, or from that vendor's own documentation or pricing page, read on October 22, 2026. Features and prices change; confirm with the vendor before you buy.
What "integrates with Smokeball" can mean
- A memo. A written note on the matter, the closest thing in Smokeball to a file note.
- A task. Many phone integrations log each call as a completed task, sometimes with notes or a transcript attached.
- A fee or time entry. Time for the call, with a description, in Time and Fees.
- A document. A transcript saved to the matter's documents.
Smokeball's own help articles describe a pattern that repeats across phone integrations: a call is attached to a matter automatically only when the caller is a contact on exactly one matter. Otherwise it lands without a matter, and someone links it by hand.
The comparison
| Tool | What lands in Smokeball | How the matter is chosen | Review before it files | What it captures | Price per user per month |
|---|---|---|---|---|---|
| Astrid | An attorney-approved note as a memo, follow-up items as tasks, each linked to the recording and transcript; with the billable hours add-on, time entries | Matched by phone number or client name; ambiguous calls wait for a one-click confirmation | Yes, an attorney approves the note | Zoom Phone and Dialpad calls, a dial-in bridge for any cell or landline, a bot in Zoom, Teams and Meet, a Windows desktop app, in person from a phone, uploads | $40 monthly, or $400 a year; add-on $59 |
| VXT | A call saved as a task with VXT's notes and, if you send it, the transcript; call time through AutoTime | Picked at the end of the call; a call not tied to a contact is not linked | Yes, at the save step | VXT's own phone system | $60 monthly, plus $5 a month per number |
| Querious | A time entry (billing entry) in Time and Fees | You type and select the matter for each entry | Yes, you submit each entry | A bot in Zoom, Teams and Meet, and a desktop app | $59.99 monthly, or $49.99 billed yearly |
| Call Connector | A fee when one matter matches, otherwise a task; transcript and summary on the paid plan; texts as memos | Automatic when a single matter is found | None described | Phone systems such as RingCentral and Dialpad; video through a $9 add-on | Free logging tier; $49 with transcripts |
| RingCentral (native) | A completed task per call, with time through AutoTime; no transcript | Automatic only when the contact is on exactly one matter | None | RingCentral desktop app calls | Part of your RingCentral and Smokeball plans |
| Smokeball Archie | A transcript and summary of an audio or video file already in the matter, saved as a Word document | The matter you open it in | You choose to save it | Uploads only; no meeting or phone capture | Included in the Archie add-on |
| PointOne | Time entries with narratives | Matched to the right matter and timekeeper | Yes, you finalize entries | Documents, email, calls, web and chat activity | Not published |
Notes on each
Astrid. After a call, Astrid matches it to a Smokeball matter by the caller's phone number or the client's name, and drafts a note in your firm's own format. Once an attorney approves it, the note files to the matter as a memo with a link back to the recording and transcript, and each follow-up files as a Smokeball task, assigned the way a person would assign it. With the billable hours add-on, approved time entries sync to Smokeball too. Astrid is on the Smokeball Marketplace, and Smokeball's help center has an article on connecting it. See how the Smokeball connection works.
VXT. VXT is a phone system. At the end of a call, a VXT pop-up offers to save the call as a task on a Smokeball matter, with your notes and, if you choose to send it, the transcript. Smokeball's help article covers phone calls; VXT's own marketing also mentions meetings, which Smokeball's article does not describe, so confirm that in a demo.
Querious. On Smokeball, Querious sends time entries only. Smokeball's help article says you pick a billing entry in Querious, type the matter name, edit the description and duration, and submit it. Notes stay in Querious.
Call Connector. A call logger that sits on top of RingCentral or Dialpad. It logs a call as a fee when it finds one matching matter and as a task otherwise, tags each with an activity code, and includes a transcript and summary on its paid plan. Its Smokeball page says tasks with no matched matter are assigned to the first user alphabetically.
RingCentral. Smokeball's own integration logs each RingCentral call as a completed task and tracks the time with AutoTime. It does not record or transcribe the conversation.
Smokeball Archie. Archie's transcription app turns an audio or video file already saved to a matter into a timestamped transcript and summary, and you can save it as a Word document. It does not join meetings or capture calls, so it pairs with a recorder rather than replacing one.
Phone vendors outside the US. Several Australian and UK phone providers on the Smokeball Marketplace log calls with transcripts and summaries, among them Captivo for RingCentral, Cloud Chat for 3CX, Aatrox and EzyBiz. Their listings are tagged for Australia, so check availability in your region.

What to ask in a demo
- Show me the record in a Smokeball matter after a call. Is it a memo, a task or a fee, and who is it attributed to?
- How is the matter chosen when a client has two open matters?
- Does it create Smokeball tasks for follow-ups, and who are they assigned to?
- Can someone review and edit it before it reaches Smokeball?
- Does it capture calls on the phone system and cell phones we already use, and in-person meetings?
- Does my Smokeball plan include AutoTime or Archie, if the tool relies on them?

Frequently asked questions
Which AI notetakers integrate with Smokeball?
As of October 2026, Astrid, VXT, Querious and Call Connector are on the Smokeball Marketplace and send call or meeting records to Smokeball, and PointOne sends time entries. They send different things: Astrid a memo and tasks, VXT a task with notes, Querious a time entry, and Call Connector a fee or task with a transcript on its paid plan.
Does Smokeball have its own AI notetaker?
No. Smokeball's Archie add-on transcribes and summarizes audio or video files you have already saved to a matter, and AutoTime tracks call time, but neither captures a meeting or a call's content.
Can an AI notetaker create tasks in Smokeball?
Yes. Astrid files follow-up items from an approved note as Smokeball tasks. VXT, Call Connector and Smokeball's RingCentral integration log the call itself as a task.
Does Otter integrate with Smokeball?
We found no Smokeball Marketplace listing for Otter, Fireflies, Fathom or Jamie. They can be connected through Zapier by someone who builds the workflow.
How much does Astrid cost?
Astrid is $40 per person per month billed monthly, or $400 per person per year billed annually, with a 14-day free trial. The billable hours add-on is $59 per timekeeper per month.
