Summary: Microsoft Teams can record and transcribe a meeting, but it keeps each transcript with the meeting, not with the client matter. To find everything said on one matter, someone has to know which meetings belong to it. Astrid joins Teams meetings, links each one to a matter, and keeps the transcript, an approved note and the client recap on that matter's timeline. You can search a phrase across a matter or across the firm, and ask questions with answers cited to the call and timestamp.
We make Astrid, so weigh what we say about it accordingly. Features change; confirm with any vendor before you buy.
Why Teams transcripts are hard to use for a case
Teams organizes recordings and transcripts by meeting. A client matter runs for months across many meetings, plus phone calls and emails. When a question comes up, "what did we tell the client about the deposition date?", the answer is in one of a dozen transcripts with no link to the matter.
What a law firm needs
- Every call on the matter. Teams meetings, phone calls and other video meetings in one place for each client.
- Search by phrase, across one matter or the whole firm.
- A note, not only a transcript. The transcript is the evidence; the note is what an attorney reads.
- Access control for privileged calls.
- Filing of the approved note to the case management system.
How Astrid handles a Teams meeting
- Joining. Astrid's notetaker joins the Teams meetings on your connected Outlook or Google calendar automatically, or you send it from the event page. It plays an audible recording disclosure.
- Matter. If the matter is linked on the calendar event, the meeting goes to it. Otherwise it waits for a one-click choice.
- Transcript and note. Astrid transcribes the meeting with speakers identified and drafts a note in your firm's template. An attorney approves it, and it files to Clio, Smokeball, Lawcus, 8am MyCase or 8am CasePeer.
- Timeline. The matter's timeline shows calls, notes, recaps and time entries in the order they happened.
- Search and questions. Find a phrase across every transcript on the matter or the firm. Ask Astrid answers questions about the matter using only that matter's transcripts, approved notes and recaps, citing the call and timestamp.
Calls marked privileged are limited to attorney seats and firm administrators. The firm chooses how long recordings and transcripts are kept, and nothing on a matter under legal hold is deleted. You can export a matter's notes, transcripts and recaps together.
Phone calls belong on the same matter
Most client conversations are not Teams meetings. Astrid captures phone calls automatically from Zoom Phone and Dialpad, and from any phone through a dial-in number, and puts them on the same matter timeline as the Teams meetings.

Frequently asked questions
Can Teams transcripts be organized by client matter?
Not on their own. Teams keeps a transcript with each meeting, so finding everything said on one matter means knowing which meetings belong to it. A notetaker that links each meeting to a matter puts every transcript for that client in one place.
How does Astrid know which matter a Teams meeting belongs to?
If the matter is linked on the calendar event, the meeting goes straight to it. Otherwise the call waits for a one-click choice of matter, so it is never filed to the wrong client.
Can we search across every transcript?
Yes. In Astrid you can find a phrase across every transcript on a matter, or across the firm, and Ask Astrid answers questions about a matter with a citation to the call and timestamp.
Who can see privileged calls?
Calls marked privileged are limited to attorney seats and firm administrators.
Does it work for phone calls too?
Yes. The same matter holds phone calls captured from Zoom Phone, Dialpad or the dial-in number, and Zoom and Google Meet meetings.
